How to export your calls and contacts from Nooks (and import them into lemlist)

If you’re wondering what actually comes out of Nooks when you leave, here’s the short answer: not your contacts. Nooks doesn’t store contact data natively. It references contacts from your connected CRM (Salesforce or HubSpot), so the “export” you’re really after is call activity, recordings, transcripts, and anything else that lives only inside the dialer.

That distinction matters because it changes where you go looking for things.

One wrinkle worth flagging early: prospects uploaded via CSV are stored in Nooks purely for calling and logging. They’re never synced back to an external system. If your team mixed CSV uploads with CRM-based lists, you’re dealing with two separate pools of contacts, not one.

What to check before starting the export

The first thing to confirm is whether Nooks has been syncing call activity back to your CRM. Nooks integrates natively with Salesforce and HubSpot, logging calls, notes, and next steps in both directions. If that integration was active, the bulk of your valuable data is already sitting in Salesforce or HubSpot.

You’ll also want to verify a few things before pulling anything:

  • CRM field mappings: Basic fields like name, email, company, and title come through by default, while phone numbers and some other fields depend on how your CRM mappings were set up. Any gap there can carry over into your export.

  • CSV-uploaded lists: CSV uploads are tied to the rep who uploaded them, so they don’t show up for anyone else. Ask each rep to check their own dialer view.

  • Disposition mappings: Write down every call disposition your team uses in Nooks now. You’ll want to map these to the corresponding fields in your new tool.

  • Contract and retention terms: Confirm how long Nooks retains recordings and transcripts after you cancel. This information isn’t publicly documented, so reach out to your account rep directly.

How to export contacts from Nooks

Since Nooks references contacts from your CRM, your contact export usually happens inside Salesforce or HubSpot rather than inside Nooks.

For CRM-synced contacts, open Salesforce or HubSpot, filter by the relevant views or lists your reps were dialing, and export to CSV. This gives you names, emails, phone numbers, titles, and any custom fields your team tracked.

For CSV-only contacts (those uploaded directly to Nooks without a CRM connection), you can view and export the related call data (duration, disposition, notes) via Reporting > Team Dialing Report > Call Browser > Calls Library. Keep in mind this exports call activity per rep, not a complete workspace export of those contacts.

Tip: If you uploaded contacts via CSV and never loaded them into your CRM, do that now before your Nooks access ends. You likely still have the original CSV files.

How to export call recordings and transcripts

Call recordings and transcripts take a different path than contacts.

If a call made through Nooks doesn’t appear in your call library or reporting dashboard, it may have failed to log. Nooks can’t put it back in the library, but support can often retrieve the recording. So for individual recordings that went missing, contacting Nooks support is the route.

For bulk transcript exports, admins can send transcripts to their own AWS S3 bucket. This is an admin-level feature, so individual reps won’t have access. Talk to whoever manages your Nooks workspace to set this up before you lose access.

The S3 export is a relatively recent feature, so if your admin hasn’t configured it yet, allow time for setup.

How to export call activity and dispositions

If your CRM integration was active, call notes, dispositions, summaries, and contact updates were logged back to your CRM automatically. In that case, you can export call activities directly from Salesforce (via a report on Task/Activity objects filtered to Nooks-originated calls) or from HubSpot (via the activity timeline export).

For call data that only lives in Nooks, head to Reporting > Team Dialing Report > Call Browser > Calls Library. From there you can view and download call-level data including duration, disposition, and notes.

The Nooks dashboard tracks dials, connects, talk time, and rep activity. Historical dashboard-level analytics (connect rate trends, peak time heatmaps, campaign-level metrics) may not be individually exportable. Screenshot or download any reports you want to keep.

How to save scripts, talk tracks, and coaching data

There is no documented bulk export for Nooks scripts, battle cards, or coaching scorecards. Callbacks, voicemail settings, and caller IDs also mostly live in the Nooks UI without a one-click download.

The practical approach: manually copy your scripts, talk tracks, and objection-handling notes into a shared doc. If your team used Nooks coaching features, take screenshots of scorecards and rep performance summaries. This takes an afternoon, and it’s worth doing before access ends.

How to import Nooks data into lemlist

Once you have your contacts, call logs, and notes exported, getting them into a multichannel outreach tool is the next step.

1. Import contacts via CSV or CRM sync

Upload your exported CSV directly into lemlist, or connect your Salesforce or HubSpot instance and import contacts from a list or view. Either way, the mapping wizard lets you match columns to lemlist fields (name, email, phone, company, custom variables).

2. Refresh phone numbers with waterfall enrichment

Phone numbers decay. The numbers you pulled from Nooks or your CRM might be weeks or months old, and some will have gone stale. lemlist’s waterfall enrichment queries 14+ data providers in sequence to find verified phone numbers and emails for your contacts (more on how lead enrichment works).

3. Map dispositions and rebuild sequences as multichannel campaigns

Nooks dispositions like “Callback,” “Not Interested,” or “Voicemail” can become call statuses, tags, or conditions in lemlist. Instead of rebuilding a single-channel call cadence, you can create a multichannel sequence: email first, then a LinkedIn visit, then a call step, then a follow-up email if the call goes unanswered.

That’s where the real upgrade happens. Instead of just replicating what you had in Nooks, you’re combining calling with email, LinkedIn, and WhatsApp in one workflow. lemlist handles all of those channels from a single campaign builder.

Frequently asked questions

Nooks hasn’t publicly documented a specific retention period for recordings, transcripts, or call logs post-cancellation. Ask your account rep in writing and get a confirmed timeline before you start the migration.

CSV uploads are user-specific, so each rep can only see their own lists. For broader reporting exports, admin access is typically required.

Yes. If Nooks was syncing activities to Salesforce or HubSpot, call notes, dispositions, and summaries were logged there. That data stays in the CRM as Task or Activity records even after you disconnect the integration.

For most teams, exporting data takes a few hours. Rebuilding call sequences as multichannel campaigns in a new tool typically takes a day. The transcript export via S3 might take longer if your admin hasn’t configured it before, so plan for a full week if you want to be thorough.
