Pipedrive to lemlist Migration: A Step-by-Step Checklist for 2026
Why outbound teams outgrow Pipedrive (and when lemlist fills the gap)
Pipedrive is a CRM built for pipeline management. It tracks deals, logs activities, and gives sales managers a visual view of their funnel. What it doesn’t do is run outbound for you.
Once a team wants multichannel sequences, built-in email warmup, or lead enrichment from a single workspace, Pipedrive starts to feel like a bottleneck. You end up stitching together separate tools for email, LinkedIn automation, phone, and deliverability, then manually syncing data between all of them.
That’s where lemlist comes in. Pipedrive is a sales CRM designed to streamline pipeline management and deal tracking. lemlist is an outbound execution platform that handles prospecting, personalization, and multichannel sending. Most teams don’t replace Pipedrive entirely. They keep it for deal tracking and move their outbound workflows into lemlist, synced through a native integration.
Here’s a quick look at how the two tools divide responsibility:
Capability | Pipedrive | lemlist |
|---|---|---|
Deal pipeline and forecasting | ✅ | ❌ |
Multichannel outbound sequences | ❌ | ✅ |
Built-in email warmup (lemwarm) | ❌ | ✅ |
Lead database and enrichment | ❌ | ✅ (600M+ contacts) |
Contact and activity CRM sync | ✅ | ✅ (via Pipedrive integration) |
The migration isn’t a rip-and-replace. It’s a restructuring of where outbound lives.
What to export from Pipedrive before you switch
Contacts, custom fields, and deal history
There are two types of Pipedrive contacts: People and Organizations. You’ll typically want to export People (your actual prospects) along with any custom fields tied to outreach, like industry, lead source, or ICP tags.
Deal history is useful for context, though it won’t map 1:1 into lemlist. If your reps rely on past deal stages to personalize follow-ups, export that data separately and keep it as a reference in Pipedrive or a spreadsheet.
Activities, notes, and files linked to deals and contacts in Pipedrive need to be exported separately. Don’t assume a single export captures everything.
Data you can leave behind
Not every record deserves a spot in your outbound platform. Migrating your entire Pipedrive database will create noise from day one.
Closed-lost deals older than your sales cycle: These contacts are cold and unlikely to convert. They’ll sit in your lists and drag down engagement metrics.
System-generated activity logs: Auto-created records like “deal moved to Negotiation” add bulk without value in a sending tool.
Unsubscribed or bounced contacts: Importing these into lemlist risks deliverability damage before your first campaign even launches.
Duplicate records: Once organizations actually run a proper audit, they often find that a large share of records are duplicates, outdated, or missing required fields. Clean before you move.
How to clean your Pipedrive data before export
You can choose between two native options: exporting filtered data, or extracting unfiltered contacts in bulk. In the People view, use Pipedrive’s built-in filter builder to segment contacts by tag, deal status, last activity date, or custom field value. Export only the filtered results.
Before exporting, normalize your custom field values inside Pipedrive. That means consistent job title formatting (e.g., “VP Sales” vs. “Vice President of Sales”), removing contacts without an email address, and deduplicating records. Doing this work inside Pipedrive is faster than cleaning a raw CSV after the fact.
Common migration risks that break outbound campaigns (and how to prevent each one)
1. Losing contact records during export
In many migrations, the export “completes” without an error. The person running it sees a success message. The missing records surface weeks later when a sales rep searches for a contact that does not exist.
Prevention: compare the row count in your exported CSV against Pipedrive’s total contact count before importing into lemlist. If the numbers don’t match, recheck your export filters.
2. Broken field mapping between systems
Data lands in the wrong place. Your old CRM stores full names in a single field. Your new CRM has separate first and last name fields. The import dumps “Jane Smith” into the first name field and leaves last name blank.
Prevention: build a field mapping spreadsheet before import. Match each Pipedrive field to its lemlist equivalent or a new custom variable, and test with a small batch first.
3. Missing engagement history
Email opens, replies, and call notes from Pipedrive won’t transfer to lemlist automatically. The most dangerous data you’ll lose isn’t contacts or deals, but the unmappable engagement history that gives sales context.
Prevention: export activity history separately and store it as a reference. Or, use the native Pipedrive integration so reps can still access historical context inside the CRM while working in lemlist day to day.
4. Importing dirty or duplicate data
Duplicates create double-sends. Invalid emails trigger bounces. Both destroy sender reputation before your outbound machine ever gets going.
Prevention: deduplicate and verify emails before importing. lemlist’s Email Finder & Verifier uses waterfall enrichment across 14+ providers to re-verify addresses during import, so you’re only sending to real inboxes.
5. Outbound downtime during the switch
Migrating to a new CRM can disrupt daily operations if not carefully managed. Downtime during the transition can lead to lost sales, poor customer experiences, and internal productivity losses. The same applies to outbound platform migrations.
Prevention: run both tools in parallel. Let active sequences finish in Pipedrive while new campaigns launch in lemlist. We’ll cover how to structure this overlap below.
6. Deliverability collapse on new sending domains
For IP and domain reputation safety reasons, setting up a new email address on a separate domain for outbound is recommended. And what sometimes happens is teams set up a new domain, set up an email address, and start sending 50 emails a day within 3 days or so. Unfortunately, that’s the best way to get blocked.
Prevention: set up and warm your sending domains in lemlist at least two to four weeks before migration day. We cover the exact steps in the deliverability section below.
7. Team resistance to the new workflow
Even the best CRM can fail if teams do not use it. Many businesses focus on migration and setup. But they forget training, adoption, and daily user experience.
Prevention: involve the team early. Run a small pilot campaign in lemlist first with two or three reps. lemlist’s in-app guided setup and chat support reduce the learning curve, so adoption usually isn’t the bottleneck people expect.
Step-by-step checklist to migrate Pipedrive contacts into lemlist
1. Connect Pipedrive to lemlist via the native integration
To get started, make sure you have an active account on both Pipedrive and lemlist. After logging in to both platforms, click your avatar and select Settings. In the Integrations section, click Connect next to Pipedrive (the lemlist academy has a step-by-step guide to connecting Pipedrive to lemlist).
The Pipedrive–lemlist integration lets sales teams sync their CRM contacts directly with lemlist outreach campaigns, eliminating manual data exports. You can set it up in under five minutes through the Pipedrive Marketplace without any coding.
2. Create a People filter in Pipedrive
Don’t import your entire database. Navigate to the Contacts module and use the filter feature to select the records you want. Once the list is selected, click the dropdown menu in the top right corner and choose “Export filter results.”
Filter by ICP tags, deal status, last activity date, or any custom field that identifies contacts worth reaching. This is where the cleanup work from earlier pays off.
3. Import filtered contacts into a lemlist campaign
You can push contacts from Pipedrive into a lemlist campaign via the integration or upload the cleaned CSV directly. lemlist maps standard fields (first name, last name, email, company) automatically, but custom fields require manual mapping.
4. Map custom fields and variables
The default field mapping will cause problems later. Instead, customize these critical connections immediately after installation. Map Pipedrive’s “Person Name” field to lemlist’s “First Name” and “Last Name” fields separately, not to a combined name field. This ensures proper personalization in your email sequences.
Here are common mappings:
Pipedrive “Organization name” → lemlist
{{companyName}}Pipedrive custom field “Industry” → lemlist custom variable
{{industry}}Pipedrive “Phone” → lemlist
{{phone}}
For lemlist to send data to Pipedrive, you also want to add custom fields in Pipedrive. These fields store information from lemlist (emails, LinkedIn URLs, campaign names, etc.). See lemlist’s guide to syncing Pipedrive with lemlist for the full setup.
5. Configure CRM triggers for deal creation and activity sync
You can create deals in Pipedrive via lemlist. Go to your campaign settings by clicking the gear icon. In the CRM Integration tab, enable “Sync data from lemlist to CRM.” Select the pipeline stage where the deal should be created.
This way, when a lead replies or shows interest in lemlist, a deal automatically appears in Pipedrive. Your CRM stays the source of truth for pipeline. lemlist handles the outreach.
💡 Tip: Create a rule that adds new Pipedrive contacts to specific lemlist campaigns based on their pipeline stage or deal value. Also establish a rule that pauses lemlist sequences when deals move to “Proposal Sent” or “Negotiation” stages in Pipedrive.
How to set up deliverability before your first campaign
Buying and authenticating sending domains
Cold outreach campaigns work best from a dedicated sending domain, never from your main company domain. Buy lookalike domains (for example, yourbrand.co or getyourbrand.com when your real domain is yourbrand.com), set up one to three mailboxes per domain, and use those for outbound only.
lemlist lets you buy and authenticate sending domains directly inside the platform, with SPF, DKIM, and DMARC records configured automatically.
Warming up inboxes with lemwarm
Email warmup helps you increase send volume and engagement on cold emails. A new mailbox typically takes about one month (2–3 weeks of ramp-up, then 2 weeks of stabilization) of warmup before it’s ready for campaign volume.
lemwarm is included with every lemlist seat and runs automatically once activated. It exchanges real emails with a network of real inboxes, generating opens and replies that build your sender reputation. Start warmup the day you create your sending domains, not the day you plan to send your first campaign.
Setting safe daily sending limits
Volume matters as much as content. lemlist automatically caps daily sends per mailbox, spaces messages to mimic human behavior, and routes emails by provider type (Gmail-to-Gmail, Outlook-to-Outlook) to maximize inbox placement. Time zone alignment is also built in, so your emails arrive during the recipient’s working hours.
Running Pipedrive and lemlist in parallel during the transition
The biggest mistake teams make is trying to flip a switch overnight. A parallel-run period is what keeps pipeline moving while you transition.
Here’s how it works: let any active Pipedrive sequences or email campaigns finish out naturally. Don’t pull contacts mid-sequence, because that risks double-sending or leaving prospects stuck in a broken follow-up flow. Meanwhile, launch new campaigns only in lemlist. Use the native integration to sync data both ways so reps see a single view of each lead’s status, regardless of which tool originated the touchpoint.
Set a cutoff date (usually two to four weeks out) after which all new outreach starts exclusively in lemlist. By then, old Pipedrive sequences will have completed, your sending domains will be warmed, and your team will have run at least one pilot campaign end to end.
Post-migration validation checklist
Record count reconciliation
Compare the number of contacts exported from Pipedrive against the number imported into lemlist. Even a small discrepancy is worth investigating before you launch campaigns, because missing records compound silently over time.
Field accuracy spot checks
Pull up a random sample of 20–30 imported contacts. Confirm that custom fields, email addresses, and company names mapped correctly. Look specifically for merged fields, truncated values, and formatting issues (like phone numbers that lost their country code).
Campaign performance benchmarking
Send a small test campaign to a subset of migrated contacts. Compare open rates and bounce rates against your Pipedrive baseline. Use a verification service to clean your lists before sending. A high bounce rate can destroy your sender reputation, even if you’ve warmed up perfectly.
If bounce rates spike above 2%, pause and re-verify emails through lemlist’s waterfall enrichment before scaling.
Over to you
Migration from Pipedrive to lemlist follows a clear sequence: clean your data, set up deliverability, import with careful field mapping, and run both tools in parallel until the transition is complete. The biggest risks (dirty data, cold domains, skipping the overlap period) are all preventable with the checklist above.
lemlist’s native Pipedrive integration, built-in warmup with lemwarm, and guided in-app setup make the switch straightforward for most teams within two to four weeks.
